Who we are
In this Privacy Policy “we”, “our”, and “us” refers to MAC Imaging Pty Ltd (Noosa Radiology) ABN 29 803 872 467, and each of its related entities including MAC Imaging Associates Pty Ltd (Gympie Radiology) ABN 25 603 288 768. We provide quality medical imaging and nuclear medicine services and related services (“our services”).
Purpose
We are committed to protecting the privacy of your personal and sensitive information and to handling your personal and sensitive information in accordance with the Privacy Act 1988 (Cth) (the “Privacy Act”) and the Australian Privacy Principles. In this Privacy Policy, a reference to personal information includes sensitive information.
This Privacy Policy explains how and why we collect, use, hold and disclose your personal information.
This Privacy Policy is current from March 2024. From time to time we make changes to our policies, processes and systems. We will update this Privacy Policy to reflect any changes to how we handle your personal information. This Privacy Policy applies to you only to the extent that the collection and handling of your personal information by us is subject to the Privacy Act.
What kind of personal information we collect
We only collect information we require to manage your healthcare which may include but may not be limited to:
Identity Related
- your name
- residential and email address
- date of birth
- gender
- Medicare card number or Veteran Affairs number
- concession card number or pension numbers
- individual health identifiers
Medical related
- emergency contact and/or next of kin
- requesting practitioner details
- results copy recipients
- insurance details including private health fund details and Workcover claim details
- medical history and other health information including but not limited to; imaging history, test results, medical conditions, treatments, allergies, pacemaker use, claustrophobia, implants, medications and use of health services
- where relevant, family history and lifestyle information, which may include information about your work, relationships, religion, beliefs, ethnic background, and genetic information
- preferences in respect of health services
Administrative and billing related
- insurance details including private health fund details and Workcover claim details
- credit card numbers,
- direct debit details,
- communications, feedback, complaints and claims
You are not required to give us your personal information. However, if you choose not to provide your personal information to us, we may be unable to provide you or your referrer with the requested services.
How we collect and hold personal information
Personal information will in many circumstances be collected directly from you, for example via patient forms, over the phone or from face to face consultation.
In other instances, we may collect personal information about a patient from a third party source. This may include but is not limited to:
- other health service providers such as general practitioners, specialists, hospitals, day clinics and other medical imaging practices, and
- the patient’s My Health Record, in accordance with the My Health Records Act
- We may also collect personal information from the parties to whom we disclose personal information as described below
The circumstances in which we may collect personal information from a third party source include where the patient has provided consent, where it is not reasonable or practical to collect the information directly and where otherwise permitted by law. This may include where the patient’s health is potentially at risk and his/her personal information is needed to provide them with emergency medical treatment.
We endeavour to store and retain a patient’s personal information securely either using our own facilities or with the assistance of our service providers. This includes:
- in paper based form and other hard copy documents located securely within the practice; and
- in electronic records in a secure environment
While we take steps to protect your personal information, we cannot guarantee or warrant the security of any information you or we transmit via the Internet or by email.
Why we collect your personal information
The reason we collect, hold, use and disclose your personal information is to provide our services to you (as a patient) and to carry out patient-related services. These include:
- communicating your results from our services to your referrer and their staff
- other health services providers
- medical specialists (e.g. hospital nursing or clinic staff)
- pathology services
- other imaging/radiology companies (together “healthcare providers”)
- other relevant service providers and their staff (e.g. insurers).
What we use your personal information for
We use your personal information to:
- contact you to make, amend or cancel an appointment and send out reminders for appointments
- provide medical imaging and related services, to;
- provide a medical diagnosis or opinion and assessment of your health;
- obtain or provide a copy of your past medical images, reports or other clinical information to or from a healthcare provider
- respond to your enquiries, provide you with a copy of your records and verify your identity;
- upload to MyHealth Record in accordance with your account permissions;
- carry out administrative services (e.g. billing, debt recovery, complaint handling and quality assurance and on a de-identified basis, practice accreditation and statistical analysis);
- provide information to your employer or a government department, if the services were requested on your behalf by your employer or a government department; and
- notify relevant organisations (e.g. medico-legal insurers and/or legal advisors) of an incident
Who we share your personal information with
We share your personal information outside of our company for medical, insurance, legal, management and administrative reasons, including with:
- healthcare providers and their administrative staff (for patient-related services), that:
- are or become involved in your healthcare,
- advise of a serious threat to your health or safety, or other medical reason(s) which are for your benefit; and
- have access to our imaging portal, which includes your health information
- Healthcare providers are granted access to our imaging portal if they register an account with us and accept our terms of access and use of the portal;
- your authorised representative(s);
- insurers (incl Medicare) for the purpose of benefits payable or other third parties for billing/accounting purposes;
- our professional advisors (e.g. auditors and legal advisors) and medical insurers;
- government and regulatory authorities and other organisations, where required or authorised by or under Australian law; and
- research bodies as authorised by Australian law.
In performing some of our operational business activities we have partnerships with third party providers for the maintenance and upgrading of our radiology information systems and picture archiving and communications systems. We do not store patient data overseas however these partners may connect to us to perform maintenance or upgrade works on our systems.
The countries in which the recipients are located include, but are not limited to New Zealand and Canada
How long do we keep your personal information
We are subject to obligations under State and Territory laws for creating and
maintaining health information and records. As a minimum, we keep health information as follows:
- in the case of health information collected while an individual was an adult – for at least 7 years from the last occasion we provided health services to the individual; or
- in the case of health information collected while an individual was under the age of 18 years – at least until the individual turns 25.
Accessing your personal information
Our recommendation is to obtain any medical imaging results from your Referrer as they are in the best position to explain these to you. They have requested the imaging on your behalf and have a complete knowledge of your medical history.
You can contact us to request access or changes to your personal information at any time within our hours of operation. Please provide as much detail as you can about the information you seek. We will respond within a reasonable period and verify your identity.
We may charge reasonable expenses in supplying the requested information, subject to applicable legal requirements.
We will provide our reasons if we deny any request for access to or correction of personal information.
Where we decide not to make a requested correction to your personal information and you disagree, you may ask us to make a note of your requested correction with the information.

Your complaint will be investigated, and a response will be sent to you. We will respond to you promptly, generally within 14 days. We may request additional details from you about your complaint and may need to engage or consult with other parties to investigate and handle with your issue. We will keep records of your complaint and any resolution.
If you are dissatisfied with the response provided, you can refer the matter to the Office of the Australian Information Commissioner via www.oaic.gov.au or 1300 363 992.
